How four guesthouses in Międzyzdroje implemented automation and reduced pricing management time from 12 hours a day to just 1 hour per week
Challenge
The brand in Międzyzdroje consists of four guesthouses, each accommodating approximately 40–50 guests. The properties mainly welcome families of 2–4 people as well as business travelers, primarily from Poland, Germany, and the Czech Republic. Międzyzdroje is one of the most popular seaside resorts in the country, with occupancy exceeding 100% during peak season.
However, the staff faced a significant operational workload. One reception desk managed all four buildings, while manual pricing adjustments consumed up to 12 hours per day during the high season — 4 hours in the morning, 4 hours in the evening, and 4 hours dedicated to data analysis. The owner had to constantly monitor weather conditions, competitor rates, occupancy levels, and shifting sales targets.
In addition, the property needed a stable system that would minimize the risk of overbooking and enable secure management of all four buildings from a single platform.
Solution
The Międzyzdroje guesthouses implemented the full KWHotel ecosystem: PMS, integration with channel managers (including GuestSage), online payments, AI Booking Engine, and guest service automation tools such as door access codes, remote payment settlements, and an online reception panel. Process automation now allows 60% of guests to be handled entirely remotely, and the reception team no longer spends time on repetitive tasks related to check-ins, access codes, payments, and pre-arrival communication.
Price Recommender AI proved particularly effective in Property No. 3, where revenue increased by +40% between January and April 2025, followed by a +18.7% year-over-year growth in May and June. The owner emphasizes that the tool operates at a level comparable to a professional revenue manager — while delivering significant time savings.
